No Personal Email ID for Official Communication

State government officials can no more use personal email ID for official communication as use of private email for this purpose has been banned.

The ITE&C department of the TS government announced the email Policy on Wednesday in tune with the Centre’s email policy.

Accordingly, state government officials must use only official email ID for all  government correspondences.

The state email policy states: “Forwarding of e-mail from the e-mail ID provided by the Government of India (GoI) to government officials’ personal ID outside the GoI e-mail service is not allowed due to security reasons. The official e-mail ID provided by the government can be used to communicate with any other user, whether private or public. However, the user must exercise due discretion on the contents that are being sent as part of the e-mail”.

The state government has also disallowed auto-save of passwords for official email IDs.

“Auto-save of password in government e-mail service shall not be permitted due to security reasons,” the policy stated. All state government officials will be provided with official email IDs.

Only the e-mail services provided by the implementing agency notified by the state government shall be used for official communications by all the organisations.

The e-mail services provided by other service providers shall not be used for any official communication.

This policy is applicable to all the employees of the state government, employees of those state government bodies that use the e-mail services of government and also those state government bodies that choose to adopt this policy in future.

The email can be used as part of the electronic file processing in the government.

The objective of this policy is to ensure secure access and usage of TS e-mail services by its users. Users have the responsibility of using this resource in an efficient, effective, lawful and ethical manner.
